Printing Letters

The process detailed below will guide you through printing letters for a specific group of students.
Generally, the process can be summarized in 3 steps:
- Add the students to a group
- Schedule the letter activity for the group
- Print the letters for the group
Adding Students to a Group
There are a few ways to add students to a group. You could manually add students, use the views functionality, run a report, or upload a file. We will only discuss the method that utilizes reports.
- Navigate to the Reports using the menu in top left hand corner of the screen
- Select the desired report from the menu on the left hand side of the screen
- Once you have entered the criteria for the report, click the “Save Student Group” button
- Name and save your group
Schedule the Letter Activity for the Group
- Navigate to the Groups on the menu in the top left corner of the screen
- Find your group in the list, highlight it by clicking on the row, but NOT the name
- Select “Schedule Task” from the menu at the top of the table
- Fill out the form by selecting the letter in the “Task Template” field
- Click “Save & Close” at the top of the form
- Select “Current Program Version” on the pop-up
Print the Letters
- Navigate to Processes on the menu in the top left hand corner
- Select Letters from the menu on the left
- Click in the “Letter Templates” box and then select the letter template from the menu
- Click Next
- Select your request from the list and click “Queue Letters” at the bottom of the table
- You will see a notification pop-up in the top right corner when the batch is finished processing
- You can navigate to view the completed batch by either clicking on the notification, or going to the History tab on the Letters process screen
- Click on the name of the batch in the table to view the job results below
- In the Job Results table, click the link in the “Letter” column to download the letters
- Find the file in your downloads folder
- Print the Word document
